GIG ALERT: Calliope PR Temporary Assistant (Dec 2018/Jan2019)

RESPONSIBILITIES
Manage press RSVPs to all 11 Festival productions, amounting to more than 40 shows.
Correspond professionally and promptly with journalists
Track all requests and confirmations in a master spreadsheet
With Calliope CEO, prioritize VIPs
Liaise with box offices at partnering venues
Liaise with allied publicists
Send day-of confirmations to all press and box offices
Manage the PROTOTYPE press room
Communicate with Festival Marketing Director and Festival Photographer to acquire and house production photos and video the morning after each of the 10 dress rehearsals
Resolve press inquiries for materials and information
Funnel interview requests and potential stories to Calliope CEO
Greet and manage press for roughly 15 performances at multiple venues in Manhattan and Brooklyn
Track news
Track linkage in master spreadsheet and circulate to appropriate distribution lists.
Pull and collect press quotes for the Festival and for each individual production.
Deliver critical acclaim sheets and paste-ups to Calliope CEO by January 31.
PROJECT TIMELINE
The project begins December 10 with a VIP invitation to press and light hours through December 23. (Calliope PR is closed December 24-January 1.) The Assistant must be available for long and demanding hours immediately preceding and during the Festival, January 2-13. After the Festival, the assistant will independently prepare the critical acclaim and paste-ups for delivery to the client by January 31.
QUALIFICATIONS
The Assistant must be highly motivated, supremely organized. attentive to detail, professional in correspondence with colleagues and members of the press, self-directed, flexible, and pleasant to work with. Ability to work swiftly and independently is a must. The Assistant must be proficient in Excel, Squarespace, Dropbox, and Drive.
PAY
Hourly pay in December with a significant flat retainer in January.
